An HTML email can give a professional look to correspondence. Having the email tailored to include CRMHaven fields will enhance the impression. When the eMailMerge is sent, all the field values will be substituted with the Client record values. But beware trying to get too clever. Always send a test to yourself first and do not use the feature for sending spam emails.
- Set any Clients you want to be sent as Marked.
- Click the Actions button and choose Send eMailMerge from the list.
- Set any text values you want to the desired value such as the HTML body or greeting.
- Choose the Client field pop up list on the bottom of the window to paste the field code into the Body Plain (this field can be cut and pasted into any other field).
- Add both a plain and an HTML body text.
- Click the Send button to send this email to all Marked Clients.
Preview
Click the Preview button. A Preview window will open allowing you to verify the email displays properly.
Test
Click the Test button. Enter your personal email address and verify that the email displays correctly in your email program.
Attachment
You may add an attachment to every email by clicking the Attachment check box and choosing a file in the select window.
Add Event
By default the ‘Add Event’ check box is ticked so that a New Event is added to the Client’s record after the Send button is clicked. Check this box off if you don’t want an automatic event added. You can always add the event manually later using the ‘Add Event (eMailMerge)’ command.
Options
- Most modern email programs will view only the HTML code but the plain text message is useful for text-only email programs.
- There must be a recipient and an SMTP server for the Send button to become available.
- The normal port for SMTP port is 25. You can normally leave the Username and Password fields blank.
- The Body and HTML text are not saved. You may want to copy and paste this text into a word-processor to keep between eMailMerge sessions.
