SpotFind is like a Google search for your Client records. If you know your information is in one of the Client records then enter the details and every Client on the server with this text somewhere will appear. Search lets you be more selective in choosing what text appears where in what fields.
SpotFind
- Click the SpotFind tab.
- Type in any text of at least four characters and SpotFind will return only those clients that contain that text somewhere within their fields.
- Returning the SpotFind field to a blank state runs the last Client search.
Search is the advanced search function of CRMHaven. You might not want to find some text that might be in any field, but want only those clients with a certain value in one field. Search is able to search using up to four criteria. If a criteria is left blank it it ignored. The order of the criteria does not matter.
Search
- Click the Search tab.
- Choose the Client field from the pop up list that you want to search.
- Choose the condition that it must evaluate.
- Enter the value that the field and condition must meet.
- Click the Find button to search the server and return the clients that meet the criteria.
Options
Searching can either start from nothing and include conditions or start from everything and exclude conditions. The pop up ‘Any Condition (OR)’ starts from nothing and build up, whereas the ‘All Conditions (AND)’ setting cuts down the choice having to meet every criteria.
Limit
The limit tab allows us to retrieve clients who would normally not show up in searches. Checking Hidden, No Contact and Duplicate allows us to view clients that we don’t normally want to see in our search results.
In Group
Setting the In Group to a single group ensures all searches return only clients from that Group. This may be useful if you have many Groups to store your clients.
Edit
When the In Group is not set to All you have the ability to choose what can be edited. If you set the Edit value to Custom Fields the normal fields disappear (with the exception of the client ID, Name and Organisation) and the Custom Fields appear. You can click on a Custom Field’s cell it allows you to add or edit the value. You cannot add returns or tabs.
Sort By
This allows you to determine the sort order of the clients as you search for them. The Client ID will return clients in descending order while all other choices are in ascending order.
Limit
Controls the absolute number of clients that are returned on each search. Type a number to return a maximum of that many clients or leave it as zero to return every matching client.
