Copying Out & Taking Out

Click the Find icon in the Tool Bar (or choose Find... from the File menu or type command-F on Macintosh, control-F on Windows or Linux). There are three main ways to find a project: by typing in the project numbers, by choosing a recent project or by searching for a project.



Project number
  • Into the top field you can type the project number you want to find. You don’t need to include any zeros at the start.
  • If you want to take out lots of Projects, separate them with a comma e.g. 789, 23345, 567.
  • You may enter as many Projects as you want. DocHaven will check your Project numbers before it lets you take them out.

Recent projects
  • Click the pop-up for Recent Projects. It includes a list of the latest 100 Projects accessed with your most recently accessed Projects at the top.
  • Highlight the project you want to find and click the ‘Add’ button. The project number will be appended to the top field.
  • You can add as many recent documents as you want. If a group member has taken out one of your Projects more recently, that Project number will not appear in your list.

Clear
  • You can clear the list of current Projects to be taken out by clicking the Clear button.

Take Out
  • Clicking the Take Out button will attempt to place the latest version of your listed Project on to your computer.
  • While you have that Project out no-one else can take that Project out. This function sets the InStatus of the Project on the server to false.
  • If you lose a Project while it is out (e.g. you delete the whole project or the laptop is stolen) you will need to set the InStatus to true before you can take out the Project again.

Copy Out
  • This function is similar to creating a new Project from a Template.
  • Click the Copy Out function to place a copy of the latest versions of the listed Projects on to your computer, but with each Project having a new Project number - the original Project will be left unchanged. This may be useful where, say, you create a monthly report, yet want to keep a copy of the previous reports as a record of the data at that time.

View
  • This function is similar to the Copy Out function except it places a copy of the Project in your Downloads folder. The original project is left unchanged and is available for taking out.

Reveal
  • If the 'Reveal’ button is checked then, as the projects are downloaded, their folders will be opened in the operating system windows. If you are downloading lots of projects you may want to uncheck this!




Options
  • You can add to the list of Projects by a combination of direct Project number entry or Recent Projects or Project searches.
  • You can turn off the default Reveal setting in the Windows > Database > Users window.
  • You can cancel a waiting transfer in the Transfers window.
