Managing Groups

Click the ‘Groups’ tab. Groups in OfficeHaven can be created, edited or recycled, but never deleted – otherwise a project may become orphaned. There is no limit to the number of Groups that can be created.

Many of the Group fields relate to pop-up values in CRMHaven. In most cases it is best to leave these fields blank. When the field is blank, it will use the built-in default data in the popup lists.
  • If you want to change these defaults, or see what they are, click on the Samples button next to the field and change them accordingly.
  • Items are separated by a Return.
  • It is best to leave a blank line at the top of a set of choices where only one choice is available (e.g. State), otherwise where no value is in the database, it will appear to have made a choice.
  • It is best to leave no blank lines where multiple choices can be made, otherwise users might choose a null entry.
  • It you want a section break in the popup list then put a hyphen in the list of items.
  • The order of the items does not have to be alphabetical. The order they are entered in the list is the order they will appear in the popups.
  • The changes are only saved when you click the Update button.




Details Tab

  • Click ‘New’ to create a new Group ID. Type the group’s name into ‘Group Name’ and any description about the group into ‘Notes’. For large organisations it is best to have at least one default group per user account for their personal documents, one group for everyone to contain generic template projects and one group per department to both share projects and contain department-specific templates.
  • Shift-click the ‘All Users’ list to select every user that you want added to the new group.
  • Click ‘<<’ to add these highlighted users to the group, then click ‘Update’. The ‘All Users’ list never changes in size, but the ‘Users in Group’ will change as you add users. If a user is already a member of the group when you go to add them, the computer will beep, but will not stop adding the other users to the group.
  • To remove user access from a group, shift-click ‘Users in Group’ list. Click ‘>>’ to remove the users from the group. Click ‘Update’.


Descriptions Tab

Descriptions
  • Normally the items on the left are to be left blank, but it is possible to change them for your context e.g. Group to Class or Project to Case.

Custom Headers
  • Set the questions for this Group’s Custom Fields in CRMHaven. The first two items are the headings for the items, while the remaining items are the Questions themselves. The items are all separated by a Return.


Membership Tab

Memberships
  • Lists the possible membership types for a Client in CRMHaven.

Owners
  • Lists the possible Owners of a Client for CRMHaven.

Transaction Items
  • Lists the optional purchase items for use within CashHaven. Any number in square brackets at the end of an item will be used as the default transaction price.

  • Lists the possible number of Apprentices in the organisation where a Client in CRMHaven is based.

Salutations
  • Lists the possible Salutations for a Client in CRMHaven.

SOC Codes
  • Lists the possible Standard Occupancy Codes (SOC) for the individual Client is based in CRMHaven.
